Why we collect your personal data and what is done with it

This policy relates to the business of Hair & Beauty Fusion and its subsidiaries: Fusion Health & Aesthetics; Fusion Education & Training.

 

The purpose of this policy 

The purpose of this policy is to:

i. demonstrate awareness of GDPR legislation, Data Protection law, and our insurance companies' requirements

ii. identify measures that have been put in place to meet the requirements of such legislation and insurance requirements

iii. reassure our service users of the importance we place on collecting, using and storing their personal data

 

Address to Service Users

 

When you supply your personal data to Hair & Beauty Fusion (or any of its subsidiaries) they are stored and processed for the below reasons:

  • We need to collect some personal information about you and your health in order to make sure there are no contraindications to your treatment, and legal requirements. You can of course, refuse to provide the information, however unfortunately we would have to refuse your treatment as this form is a legal requirement for our insurance.

  • Provided we have your consent we may occasionally send you messages via text, Whatsapp or email, with our latest News and offers. This will be generally no more than twice / month, unless there is an urgent announcement regarding the business.

  • We have a legal obligation to retain your records for seven years after your most recent appointment. After this time your records will be destroyed in a method compliant with GDPR.

 

Personally Identifiable Non-Public Information that we may collect and store for the purpose of providing your treatments / services and communicating with you:

  • medical or health care information;

  • information that is defined as private personal information;

  • unpublished telephone number.

Such information allows you to be uniquely and reliably identified or contacted, or allows access to your health record information but does not include publicly available information.

How we maintain appropriate collection, use and storage of your personally identifiable information

  • Records retained on paper, which are locked in a cabinet within the salon, is only accessible by staff of Hair & Beauty Fusion

  • Records recorded on the salon’s software, which is password protected and only accessible by management of Hair & Beauty Fusion and practitioners directly involved in providing your services.

  • Your phone number and email may be used electronically, with your permission. This is for appointment reminders or occasional offers.

 

Recommendations to Service Users

  • If you wish to contact us via social media, this is password protected but for historic issues with privacy associated with social media sites, you may wish to think about what you send us.

  • This website may, from time to time, provide links to other websites. Hair & Beauty Fusion has no control over such websites and is no way responsible for the content thereof. This policy does not extend to your use of such websites. Users are advised to read the privacy policy or statement of other websites prior to using them.

 

Our Responsibilities and Your RIghts

  • We will never share your data with anyone who does not need access without your consent. Only the Management and Staff of Hair & Beauty Fusion will have access to your data.

  • You have the right to see what personal data of yours we hold and you can also ask the Owners of Hair & Beauty Fusion to correct any factual errors. Provided the legal minimum period (7 years) has elapsed, you may also ask the business to erase your records.

  • As identified in this document we have taken measures in line with our insurance company requirements and UK law to limit the risk of unauthorised Disclosure. This means that we have taken precautions to ensure that access to personally identifiable information is not authorised by Hair & Beauty Fusion (including its subsidiaries). Management at Hair & Beauty Fusion take full responsibility for maintaining confidentiality of your personal data.

 

Intended actions in case of security / data breach

Examples of potential security breaches:

  • Unauthorised Access or Use of Computer Systems, including Unauthorised Access or Use resulting from the theft of a password from a Computer System or from a member of Hair & Beauty Fusion;

  • a Denial of Service Attack against Computer Systems or Third Party (website host) Computer Systems;

  • infection of Computer Systems by Malicious Code or transmission of

  • Malicious Code from Computer Systems.

 Where a security Breach is identified management of Hair & Beauty Fusion will contact service users, our insurance company and ICO. Immediate action will be taken to investigate causes and provide guidance for all those affected of security breach. Hair & Beauty Fusion management will endeavour to be transparent in their actions and intentions.

 

We would like you to be absolutely confident that we treat your personal data responsibly and that we do everything we can to make sure that only people who can access that data have a genuine need to. Of course, if you feel we have mishandled your data in some way, you have the right to make a formal complaint. Please address any complaint in writing as follows:
